Manual spreadsheets became one system that runs the whole program.

Institutional Portal: A student and staff portal, built and deployed with Morgan State University’s Food Resource Center.

The challenge

The Food Resource Center’s student data lived in spreadsheets and email threads. Staff answered the same questions over and over because there was no single place to look, and leadership had no live view of the program at all.

The solution

We rebuilt the program’s operating model, not just its records: who asks, who approves, who reports. The portal encodes those roles, so the process now runs the same way every time, with an audit trail.

What runs inside the organization

  • Students sign in with their university email to see their own records and track requests without emailing anyone.
  • Staff get one admin workspace with search, approvals, and reporting, with every action logged.
  • Role-based access keeps every user inside exactly the data they should see.
01

Model the operation

We turn your spreadsheets into a real operating model: members, requests, statuses, and who is allowed to see what.

02

Build the member view

Members sign in and see exactly their own records, submit requests, and track status without emailing anyone.

03

Build the staff view

Staff get search, approvals, and reporting in one admin surface, with every action logged.

04

Migrate and train

We import the existing data, run both systems in parallel for a week, then retire the spreadsheets.

What a build like this delivers

  • A deployed portal with secure sign-in and role-based access
  • Member self-service and staff admin views
  • Your existing data migrated and validated
  • Audit-friendly logs and a staff training session

Pilot sprint
Standard
Complexity

Every engagement starts with a fixed-scope pilot sprint. Larger builds are scoped after the pilot proves itself.

What this means for you

This is what an institutional partnership looks like: we scoped it with the staff who run the program, shipped it, and it serves them today. If your institution runs on shared spreadsheets, the same redesign applies.

Schedule a 30-minute System Mapping Session

Not a sales call. A working session on your operation, and the roadmap is yours whether or not we ever work together.

Book the session

Opens your email with the request prefilled. No forms, no tracking.

  • Validate where your operation actually loses time
  • Estimate the capacity you could reclaim, in hours and dollars
  • Prioritize the highest-ROI system to build first
  • Leave with a roadmap, whether you hire us or not
